Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. You can find out more about lawful bases on the ICO’s website.

Our lawful bases are:
• Providing our services: contract (to respond to your enquiry and to carry out a contract with you) and legitimate interests (responding to enquiries, preparing proposals and improving our website and services).
• Managing client accounts: contract and legal obligation.
• Information updates or marketing: legitimate interests (contacting businesses that may benefit from our website design services; every message includes a simple way to opt out) and consent, where the law requires it. You can withdraw your consent at any time.
• Complying with legal requirements: legal obligation.
• Dealing with queries, complaints or claims: contract and legitimate interests (handling queries and complaints and keeping records of our work in case of a dispute).

Your rights. Depending on the lawful basis, you have the right to:
• ask for copies of your personal information (right of access);
• ask us to correct information you think is inaccurate or incomplete (right to rectification);

• ask us to transfer the information you gave us to another organisation, or to you (right to data portability);
• withdraw your consent at any time, where we rely on consent.

The right to object does not apply where we rely on contract or consent, and the rights to erasure, objection and portability do not apply where we must keep information to comply with the law. You can read more about your rights on the ICO’s website.

To make a request, email info@beholdstudio.co. We will respond without undue delay and within one month.

Where we get personal information from
• Directly from you, for example through our website forms, project questionnaire, email, WhatsApp or calls.
• Publicly available sources, such as business websites, Google Maps, LinkedIn and Companies House, when we contact businesses about our services.

How long we keep information
• Enquiries that don’t become projects: 12 months after our last contact.
• Client records and invoices: 6 years after the end of the project, to meet tax and legal requirements.
• Business contacts we approach about our services: 12 months after our last contact. If you ask us not to contact you again, we delete your details and keep only your email address on a do-not-contact list so that we respect your request.

Who we share information with
Data processors (organisations that handle personal information on our behalf):
• Tilda (website platform): hosts our website and stores enquiries submitted through website forms and the project questionnaire.
• Google (Gmail, Google Sheets), Notion and WhatsApp (Meta): provide our email, store enquiry, project and client records, and support messaging with people who contact us.

Others we share personal information with:
• Organisations we’re legally obliged to share personal information with, such as HMRC.
• Freelance professionals who help us deliver a project, only where needed for that project.

We do not sell your personal information.
Sharing information outside the UK
Where necessary, our data processors share personal information outside the UK. When doing so, they comply with UK data protection law and make sure appropriate safeguards are in place.
• Google, Notion and Meta (WhatsApp) — cloud email, data storage and messaging providers — United States. The transfer relies on UK adequacy regulations (the UK–US data bridge).
• Tilda (Tilda Platform Cloud Services Co. LLC, registered in the United Arab Emirates) — website platform — stores data on servers in the European Union, with backups and some processing in the United States and the United Arab Emirates. Transfers to the EU rely on UK adequacy regulations; other transfers rely on standard contractual clauses put in place by Tilda.

For more information or a copy of the safeguards, email info@beholdstudio.co.
